VeraSlate is an educational platform operated by Decoveo Limited, a company incorporated in the United Kingdom and Nigeria (“Decoveo”, “we”, “our”, “us”).

This Privacy Policy explains how we collect, use, disclose, and protect personal data when you use:

  • VeraSlate Companion (learning companion mobile app), and
  • VeraSlate School (institutional LMS web and mobile platform).

This policy applies globally and complies with:

  • Nigeria Data Protection Act (NDPA)
  • Other applicable data protection laws

1. Who We Are

VeraSlate is our education brand umbrella. It includes two distinct services:

  1. VeraSlate Companion – A personal AI-powered learning companion for individual learners.
  2. VeraSlate School – A Learning Management System (LMS) used by educational institutions.

These services operate independently. Data is not shared across services.

2. Our Role: Controller vs Processor

Depending on the service:

VeraSlate Companion

Decoveo Limited acts as a Data Controller.

We determine how and why your personal data is processed.

VeraSlate School

Decoveo Limited typically acts as a Data Processor on behalf of educational institutions (the Data Controller).

Institutions determine how student data is used within the LMS.

3. Information We Collect

3.1 Account Information

For both services, we may collect:

  • Full name
  • Email address
  • Account login credentials
  • Sign in with Apple / Google sign-in identifiers
  • Subscription status (Companion only)

Anonymous or guest access is not supported.

3.2 Educational Content (Companion)

When using VeraSlate Companion:

  • Uploaded documents (PDF, Word, etc.)
  • Notes and study materials
  • Generated flashcards and quizzes
  • Learning progress data

Files remain stored until deleted by the user.

Deleted files are permanently removed within 90 days.

We do not log prompts or user content.

3.3 Educational & Institutional Data (VeraSlate School)

Depending on the institution configuration, the platform may process:

  • Student records
  • Course enrolments
  • Grades and transcripts
  • Attendance records
  • Assignment submissions
  • Parent contact details (if applicable)

This data is processed strictly under the institution’s authority.

3.4 Payment Information

VeraSlate Companion (iOS)

Subscriptions are processed via Apple In-App Purchases only.

We do not process or store your card details.

We use RevenueCat to manage subscription validation and entitlement status.

VeraSlate School

Institution invoice payments are processed via Paystack.

Payment data is handled directly by Paystack under their privacy policy.

We do not store full card details.

3.5 Technical & Usage Data

We may collect:

  • Device type and operating system
  • App version
  • Crash logs
  • Error reports
  • Performance metrics
  • Infrastructure metrics

We use:

  • Sentry – error logging & crash monitoring
  • Grafana – infrastructure observability (non-profiling metrics)
  • RevenueCat – subscription analytics (Companion only)
  • Google Analytics – website analytics (veraslate.com only)

We do not use tracking for behavioral advertising.

4. How We Use Your Information

We use data to:

  • Provide learning features
  • Generate AI-powered summaries, flashcards, and quizzes
  • Process subscriptions
  • Process institutional invoices
  • Provide customer support
  • Maintain security and system reliability
  • Improve platform performance

We do not sell personal data.

5. AI & Model Usage

VeraSlate Companion uses OpenAI to generate study materials.

  • User content is not logged for training.
  • We do not currently use user content to train models.
  • If used in the future, content will be anonymised and stripped of identifiable information.

AI-generated outputs may contain inaccuracies. Users should independently verify critical academic information.

6. Legal Basis for Processing

Under GDPR and NDPA, we rely on:

  • Contractual necessity (to provide services)
  • Legitimate interests (service improvement & security)
  • Consent (where required)
  • Legal obligations (where applicable)

For VeraSlate School, processing is primarily based on contractual obligations with institutions.

7. International Data Transfers

Your data may be processed outside your country of residence.

We implement appropriate safeguards including:

  • Contractual data protection clauses
  • Secure hosting environments
  • Reputable infrastructure providers

Users in Nigeria are protected under NDPA standards.

8. Data Retention

We retain data only as long as necessary:

  • Companion files: until user deletion
  • Deleted files: permanently removed within 90 days
  • Subscription records: retained for compliance
  • Institutional data: retained per school contract

Inactive accounts are not automatically deleted.

Users may delete their account in-app at any time.

9. Data Sharing

We share data only with:

  • Apple (subscription processing)
  • RevenueCat (subscription management)
  • Paystack (School invoice payments)
  • OpenAI (AI processing)
  • Sentry (error monitoring)
  • Hosting and infrastructure providers

We do not sell or trade personal data.

The app is rated 4+ on the App Store.

VeraSlate is designed for educational use.

For VeraSlate School, institutions are responsible for obtaining appropriate parental or guardian consent where required.

We implement technical and organizational measures to protect your data including:

  • Encryption in transit (HTTPS)
  • Secure authentication
  • Infrastructure monitoring
  • Role-based access controls

No system is completely secure; however, we take appropriate steps to minimize risk.

13. Academic Disclaimer

VeraSlate provides educational support tools.

It does not guarantee exam success or academic outcomes.
